How to Use Traces in iKeep?

Traces is used for Inter-departmental endorsements and communications. Traces can be a request/service to be given to guests at the time of reservation or during his course of stay.

The department who receives a request enters the details of the request as a Trace in the reservation, so the department who is supposed to act on this request can be notified about it at the time and day set. Once the request or service is provided the issuing department will set the status of the traces to ‘Resolved’.

Housekeeping staffs will be prompted in the Grid and in the Room Details when a guest has a still an unresolved Trace. This acts as a reminder to the staff so they can take action immediately if required. The Front Office, Reservations, Sales and other departments can print the traces for any day from the reports section of their systems.

To review or print Traces for the day, press F4 to launch View Traces window.

To add a Trace..

  1. Open the Room Details Window of the guest and select "Traces" or press Ctrl + T

  2. Click "New"

  3. Select a Department

  4. Select the Trace Date From, Trace Date To and Trace Time
    image


  5. Input the message
    image

  6. Once done, click "Save"

  7. Users can have the option to print the traces created for a folio

To edit a trace..

  1. From View Traces window, select a trace to be edited

  2. Click "Edit"

  3. Once done, click "Save"

To resolve a trace..

  1. From View Traces window, select a trace to be resolved
    image


  2. Filter the traces by Resolved, Unresolved, or view All
    image


  3. Click "Resolve"
    Note: Resolving of trace shall be done in the assigned department.
